This privacy policy explains how INFIVEX GLOBAL PTE. LTD. ("Infivex", "we", "us") collects and handles personal data. It applies to visitors of infivex.com and to the contacts of the organisations we work with.

We aim to comply with the Singapore Personal Data Protection Act (PDPA) and, where it applies to our processing of data relating to individuals in the European Economic Area, the EU General Data Protection Regulation (GDPR).

What data we collect

We only collect data that we need in order to answer you or to deliver our services. Depending on how you interact with us, this may include:

  • Contact details you give us — name, e-mail address, phone number, company name and the content of the message you send through our contact or demo forms, or by e-mail.
  • Business and project information — details about your systems, processes and requirements that you share with us during an analysis, implementation, support or consultancy engagement.
  • Correspondence — e-mails, support tickets, meeting notes and other records of our communication.
  • Technical data — information your browser sends when visiting this website, such as IP address, browser type, pages viewed and the time of the visit, generated automatically by our web server.

We do not intentionally collect special categories of personal data, and we ask you not to include such information in the messages you send us.

How we use it

We use personal data for the following purposes:

  • Responding to enquiries, quotation requests and demo requests.
  • Preparing, agreeing and delivering our products and services, including implementation, support and consultancy work.
  • Administration such as invoicing, accounting and record keeping.
  • Maintaining and securing this website and the systems we operate.
  • Sending occasional information about our products and services to existing business contacts, where this is permitted and always with an option to opt out.

We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.

Legal basis

Where the GDPR applies, we rely on the following legal bases:

  • Performance of a contract — or steps taken at your request before entering into one, such as answering a quotation or demo request.
  • Legitimate interests — running and securing our business, maintaining our client relationships and communicating with business contacts, balanced against your rights.
  • Consent — where you have explicitly agreed, for example to receive certain communications. You can withdraw consent at any time.
  • Legal obligation — where we must keep records to satisfy tax, accounting or other statutory requirements.

Under the PDPA we collect, use and disclose personal data with consent, or where we are otherwise permitted or required to do so by law.

Cookies

This website is a static site and is designed to work without tracking you. We do not place advertising cookies and we do not build visitor profiles.

Functional or analytical cookies may be used to keep the site working correctly and to understand in aggregate how it is used. Where a cookie is not strictly necessary, we will ask for your consent before it is set. You can also block or delete cookies through your browser settings; this may affect how parts of the site behave.

Pages on this site may load resources, such as web fonts, from external providers. Those providers can receive your IP address as a technical consequence of that request.

Third-party processors

To run our business we rely on a limited number of service providers, for example for website hosting, e-mail, office and collaboration software, ticketing and accounting. These providers may process personal data on our behalf.

We only engage providers that offer appropriate safeguards, we give them access to no more data than they need, and we require them by contract to process it only on our instructions and to keep it confidential.

We may also share personal data with professional advisers, or with authorities where the law requires it. For Microsoft Dynamics projects outside Asia, delivery goes through our partner Daxperience BV, and the project data needed for that work is shared with them.

Data retention

We keep personal data only for as long as it is needed for the purpose it was collected for, or for as long as the law requires us to keep it.

In practice this means enquiry correspondence is kept while it may still be relevant to a possible engagement, client and project records are kept for the duration of the relationship and for the statutory retention periods that follow it, and data that no longer serves a purpose is deleted or anonymised. If you would like to know how long we hold a specific record, contact us and we will tell you.

Your rights

Subject to the applicable law, you may:

  • Ask what personal data we hold about you and request a copy of it.
  • Ask us to correct data that is inaccurate or incomplete.
  • Ask us to delete data we no longer have grounds to keep.
  • Ask us to restrict or object to certain processing, including direct marketing.
  • Ask to receive data you provided to us in a portable format, where that right applies.
  • Withdraw consent you previously gave, without affecting processing that already took place.

To exercise any of these rights, write to hello@infivex.com. We may need to verify your identity before we act. We will respond within the period set by the applicable law. If you believe we have not handled your data properly, you may lodge a complaint with the Personal Data Protection Commission in Singapore or with your local supervisory authority.

International transfers

We are established in Singapore and work with clients and partners in several countries. As a result, personal data may be transferred to or accessed from jurisdictions outside your own, including within the European Economic Area and Asia.

Where we transfer personal data across borders, we take steps to ensure it continues to receive a comparable standard of protection, through contractual safeguards with the receiving party and by limiting the data transferred to what is necessary.

Security

We apply reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access, including access control, encryption in transit where available, and limiting access to staff who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Changes to this policy

We may update this policy when our practices or the applicable law change. The version published on this page is the current one, and the date at the top shows when it was last revised.
